Internal systems & integrations

Custom systems for the work your team does every day

When your tools don't talk to each other, or your staff do by hand what a computer should do, we build the piece that fixes it. Most of it connects to the tools you already have, so you keep what works.

What we build

Behind the login

Most of this work runs behind a login, inside your business. Your customers see faster service and fewer mistakes.

Internal tools & portals

Client portals, staff portals and admin screens, laid out around the steps your team already follows.

Integrations

Your booking system, online store, spreadsheets and accounting software passing information to each other.

Automations

Form submissions routed to the right person, reminders sent on schedule, and reports ready each morning.

Dashboards & alerts

The numbers you ask for every week on one screen, plus an alert when a connection stops working.

Document & screenshot scanning

Statements, receipts or screenshots read into structured data, with a review step before anything changes.

Rescue & handover

An inherited system nobody understands, worked out, fixed where it's broken, and written down.

Common features

How we build them

Internal systems touch customer records, money and your staff's daily work, so we build these in from the start.

  • Read-only access first. We look at your systems before we change anything, and ask only for the access the job needs.
  • A login for each person. Staff see and change only what their role needs.
  • A review step before bulk changes. You approve imports and matches before anything changes.
  • Alerts when something goes quiet. If a sync or scheduled job stops, the right person gets a plain-language text or email.
  • A record of who did what. The system logs important actions with the person and the time.
  • Works with the tools you pay for. We connect through the access your booking, payment, email and accounting tools provide.
  • A written guide at the end. Detailed enough that your team knows how the system works and what to do when something changes.

How we work

How a project runs

Every project starts with an intro meeting. We need to understand your business before we can scope the work or give you a price. More on how we work.

  1. 1

    Intro meeting

We learn how your business runs. With your permission we look at the systems involved with read-only access and map how information moves today.

  2. 2

    Written scope, quote and timeline

It depends on scope, which we set after the intro meeting. As a guide, connecting systems you already use takes 2 to 6 weeks. You get a firm timeline with your written scope.

  3. 3

    Build and test

We test against your real schedules, records and bookings, including the messy days, and your team tries it before anyone relies on it.

  4. 4

    Launch and training

We launch, train whoever will look after it, and cover it for a year.

After launch

Every project includes a one-year warranty. If something we built stops working the way we agreed, we fix it at no charge. Changes, adjustments and new features are quoted separately.

Questions

Systems questions

Do we have to replace the software we already use?

In most cases, no. Most of our work connects to what you already have and fills in what it doesn't do. If something does need replacing, we'll explain why and let you decide.

What access do you need?

Only what the job requires, starting with read-only access where the tool allows it. You create the logins, you can see what we use them for, and we hand every credential back at the end.

What happens if another company changes their system?

We tell you up front which parts depend on another company, and we plan a second route in case they refuse or change something. We set up alerts for when a connection stops working.

Which AI do you use?

We work with all the major AI providers and choose per project. A person approves anything an AI drafts before it goes out, and we walk through how your data is handled in the intro meeting.

Who owns what you build?

Unless your contract says otherwise, we own what we build and license it to you. If you want a full handoff of the code and accounts, we can agree that in your contract. Some of our own tools may be licensed to you as part of a project.

Is our data kept private?

Yes. Your logins, customer data, pricing and contract terms stay between us, and we use them only for your project. If you have an NDA, send it over and we'll review it.
